These Terms & Conditions apply to all tours and travel services booked with Pioneer Holidays. By confirming a booking, you agree to the terms outlined below.
Booking & Contract
Booking Confirmation
A booking is considered confirmed when:
We receive the required advance payment, and
You receive written confirmation (email or WhatsApp) from Pioneer Holidays.
All correspondence related to bookings and travel services should be addressed directly to Pioneer Holidays.
Payments
Advance Payment
A 20% advance payment is required to confirm most bookings.
Balance Payment
The remaining 80% balance is payable on arrival in India.
For select services such as special trains, luxury hotels, or peak-season bookings, partial or full payment may be required in advance. This will be clearly communicated before confirmation.
Accepted Payment Methods
We accept secure online payments through trusted gateways, including:
Major credit and debit cards (Visa, MasterCard, American Express)
Secure international online transactions
Payment Security
All payments are processed using SSL-encrypted and highly secure systems.
Cancellation Policy
Day Tours & Sightseeing Tours
Free cancellation up to 24 hours before departure
Full refund if cancelled within this period
Multi-Day Tour Packages
Free cancellation up to 3 days before tour start date
Customized & Tailor-Made Tours
Free cancellation up to 5 days before tour start date
If a specific tour page displays a different cancellation policy, that policy will apply.
Refund Policy
Refund Processing
Approved refunds are issued to the original payment method
Refund processing typically takes 7–21 working days, depending on banks and payment providers
Any applicable bank or payment gateway charges may be deducted if charged by the provider
Identification Requirements
Mandatory Travel Documents
Valid photo identification is required for all travelers:
Foreign nationals: Passport + valid visa
NRI / OCI / PIO holders: Passport + OCI/PIO card
Indian nationals: Passport / Driving License / Voter ID
Arrival & Departure Guidelines
Hotel Check-In & Check-Out
Check-in and check-out times are governed by individual hotel policies
Early check-in or late check-out is subject to availability
Guaranteed early check-in requires booking the previous night
Vehicle Usage Policy
Transportation Guidelines
Vehicle usage is limited to the confirmed itinerary
Extra vehicle usage beyond agreed sightseeing or transfers is not included unless requested and approved in advance
Pricing & Itinerary Adjustments
Price Changes
Tour prices are based on prevailing costs. Any mandatory increase in:
Government taxes
Monument entrance fees
Fuel or transport surcharges
will be communicated transparently if applicable.
Itinerary Changes
Itineraries may be adjusted due to:
Weather conditions
Road conditions
Local regulations
Traveler comfort and safety
Such changes are made in the traveler's best interest.
Responsibility & Liability
Our Role
Pioneer Holidays operates as a tour organizer using trusted hotels, transport providers, and licensed guides.
Limitation of Liability
We are not responsible for delays or disruptions caused by:
Weather or natural events
Transport delays or breakdowns
Government actions or regulations
Health emergencies
Events beyond our reasonable control
Travel Insurance
Travelers are strongly advised to carry comprehensive travel insurance.
